Data, purposes and legal bases
We process your name, contact details, delivery/billing address, basket, order and payment status to take steps at your request and perform your purchase contract (GDPR Article 6(1)(b)). Account data and support messages are used to provide the services you request.
Accounting and tax records are processed to meet legal obligations (Article 6(1)(c)). Session identifiers, limited access logs and fraud-prevention records protect accounts, payments and the service, based on our legitimate interest in security (Article 6(1)(f)). We do not use the contact form as consent for marketing.
Our payment provider Paynid receives the information needed for payment: name, email, phone, billing address, amount, order reference and connection IP. An optional real date of birth saved in your account may be used for payment processing; no date of birth is invented. Card data is entered with the payment provider, not stored by FORMIVOLT.
Recipients and international processing
Authorised staff, our hosting provider, Cloudflare for website delivery and security, Paynid for payments and the carrier handling your delivery receive only data needed for their function. Professional accounting or legal advisers and public authorities may receive records where necessary or legally required.
Some service providers may process information outside the European Economic Area. Where this occurs, transfers must rely on an applicable adequacy decision or appropriate safeguards, such as EU standard contractual clauses. Contact us through the privacy request form for details concerning your data. We do not sell customer contact data.
Retention
Account details are kept while the account is used and as needed to fulfil orders or resolve requests. Order and transaction records are retained for applicable Belgian accounting/tax obligations and for establishing or defending legal claims. Support correspondence is kept for handling the request and any related dispute; data no longer needed for these purposes is deleted or anonymised.
Website login sessions expire after 7 days for customer accounts, 30 days for guests and 8 hours for administrators. The checkout identifier expires after 30 days. Local basket and support access data stay in your browser until you remove them; see the cookie information page.
Your rights and complaints
You may request access, correction, deletion, restriction or portability of your personal data, and object to processing based on legitimate interests. Where consent is used, you may withdraw it at any time without affecting earlier lawful processing. Legal retention duties may limit deletion. We may request proportionate identity verification before disclosing or changing personal records.
Submit a privacy request using our contact form or write to the registered office. You can complain to the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels, Belgium, at www.dataprotectionauthority.be.
We do not operate a solely automated decision system that makes decisions with legal or similarly significant effects on customers. Payment providers may apply their own fraud and authorisation checks.
